Helpful Hints
Removing Employee Records
On the Employee Detail Report (Form 132), there is a row selector box to the left of the SSN box. Click on that box to highlight the line and use the Delete key on your keyboard to delete an employee record.
Repair Database
Use the "Repair Database" utility at least once each quarter to compact the database and make the program run more efficiently.
Sending in Your Report
To prepare the report to be sent by secure upload, click on the File button, then click on Make Transfer File and follow the steps. Because OTTER encrypts the file many of the anti-virus programs and user firewalls will not allow your system to transmit the OTTERTRF.ZIP file via e-mail. However, e-mail is an option still available to some. The transfer file may also be mailed via diskette or CD.
Calculating Excess Wages
To calculate excess wages, you must be in the Form OQ and on the "Tax Info" tab. When you click on the "Calculate Excess Wages" box, OTTER will calculate them for you.

There are extensive Help screens available on each topic. To find information on a particular topic, just click on the Help tab at the top of the screen or click on F1 if you are at that location in OTTER.
- Complete the forms in the following order: Form132, then Schedule B (if needed), then Form OQ. Calculated totals from Form 132 and Schedule B automatically flow to Form OQ.
- The OTTER System is not intended to make printed reports. The print options provided are to create a hard copy for employer’s records only.
- Some of the fields in this program use your system’s default color to indicate they calculate automatically and data cannot be entered into these fields. Fields that are required are by default colored green. This color may be changed by the user. The white fields are optional.
- Save data often. Select the Save button on the toolbar, Save from the File menu, or press the F2 key on the keyboard.
- If you buy a new computer, copy the OTTER32.mdb file from your existing OTTER directory into the one installed on your new computer.
